1. Core principles
As per our Manifesto and Values, Earth Changers is about adventure, connection and integrity. We focus on our mission to highlight and promote the best tourism for sustainable development worldwide, for you and our partners to connect and engage.
Our values are to be responsible and transparent, which counts for your data and privacy too. We’re not in the business of selling personal information.
We don’t ask for your personal information unless we need it to provide our services to you, or share it unless you’ve specifically allowed it, or as necessary to provide our services.
We appreciate that when you use our services, you trust us with your personal information: We take that responsibility seriously. This Privacy Policy holds us accountable for protecting your rights and your privacy.
2. Personal data collection
When you use our services, we collect the following information and use it as below.
2.1. Personal data you give us
When you subscribe, we collect your first name, last name and email address in order to provide and keep you updated of our services.
When you make a booking enquiry, you are at minimum asked for your first name, last name, email address, home city, and home country. We may also collect your telephone number and gender.
We will also collect information on your preferred travel options. We will ask for your preferred destinations, dates and duration of your trip, and the number of adults and children who make up your party. You may provide us with further optional information including the best time to call you, your budget, and other requirements such as special requests and food intolerances.
2.2. Personal data you give us about others
If you make a booking enquiry for another person or people or together with others, you may share personal data about others in relation to our services.
It is your responsibility to ensure that the person or people you have provided personal data about are aware that you’ve done so, and that they understand how we use their information (as described in this Privacy Policy).
2.3. Personal data we receive automatically
When you visit our website we automatically collect certain information. This includes information about your activity and interaction with our services, such as: your IP address, information about your device including the operating system and language settings, the date and time you accessed our website, the web address of the site that you came from, the internet browser used, and what pages on our website are visited. Your location information may also be transmitted, depending on the settings of your device.
2.4. Personal data we receive from other sources
We may also receive information about you from other sources. These can include travel partners and suppliers such as other companies and independent third parties.
We collect information in the regrettable case that we receive a complaint about you from a travel partner. We cannot prevent that some of that information may contain special categories of personal data.

• First party cookies: any cookie we place ourselves.
• Third party cookies: cookies placed on our domains by trusted third parties that we have chosen to allow to do so.

• Session cookies only exist until you close your browser, ending what is called your ‘session’. They are then deleted.
• Permanent cookies have a range of different lifespans and stay on your device after the browser is closed.

3. Data usage
This includes information about your activity on and interaction with our services. This enables us to analyze how our services are accessed and used, to track our performance, and to improve and tailor our services.
3.1. Our service
The main reason we ask for your personal details is to help you organise your trip and ensure you get the best service possible. The information we collect is required to help us give you accurate availability and pricing information about your trip enquiry and contact you appropriately.
3.2. Marketing communications
We follow a double opt-in system for integrity. When you subscribe, you will receive an email asking you to click a link to reconfirm your subscription. We email when we have updates. We may offer you a newsletter on an opt-in basis for marketing purposes, or use your data to contact you for feedback or surveys on your experience. You can click unsubscribe from any update or email us at any time at hello@earth-changers.com to ask to be removed and we will confirm your request.
We also use your data to analyse how our services are accessed and used, track our performance, gather information on customer experience and improve and tailor our services.
4. Data processing
We must have a legal basis to process your personal data. We rely on one or more of the following legal bases:
4.1. Necessary for performance of contract
To provide you with our services under any contract we have with you or that you request.
4.2. Our legitimate business interests
We may use your personal data where it is necessary to conduct our business and pursue our legitimate interests, for example, to give you the best service, prevent fraud or provide you with information you request from us.
4.3. Necessary for compliance with our legal obligations
To comply with legal or regulatory requirements, where this is explicitly required by law, for example, fraud prevention or other regulatory requirements.
4.4. Consent
We rely on consent only where we have obtained your explicit agreement to use your personal data for a specified purpose, for example, if you subscribe to an email newsletter.
5.Data sharing by us
5.1. We share your data with third parties such as our travel partners. The primary reason we share your data is to supply our travel partners with the relevant information for the purposes of booking. Information required for booking will only be passed on to our partners in order to provide our services or, with your consent, for you to make a direct booking.
5.2. Information that you submit to us for us to provide services may be transferred to countries other than where you live, or where we or our partners are based (for example, to servers in the US).
5.3. We may also share your data with law enforcement agencies, courts, regulators or government authorities as described in the “Compliance with the law” section below.
6.Data security
We have arrangements in place to prevent unauthorised access to, and the misuse of, personal data.
6.1. We host our website on WordPress, through which our submitted forms’ data passes. As such, WordPress provide us a Data Processing Agreement.
6.2. We store our data in Google Workspace and Google Docs, behind a 2-step verification process. 6.3. We use MailChimp for sending our email newsletters. Please refer to MailChimp’s Privacy Policy for how we use their service, and also how they process your personal information on our behalf (‘Data Collected for and by our Users’).
6.4. Our web and mobile usage information is reported, stored and covered by Google Analytics‘ Data Privacy & Security. See Google Analytics’ Data Privacy & Security information for how they process your personal information on our behalf.
6.5. Data retention
We will retain your personal information for as long as we need it to provide you with our services, to comply with applicable laws, resolve any disputes and otherwise to allow us to conduct our business.
7. Following the law
We may disclose your information to third parties if we determine it is reasonably necessary to comply with law enforcement, protect our rights or prevent fraud or abuse of Earth Changers. We would scrutinise any such request for users information carefully and challenge any that may appear vague or unlawful.
When legally permitted, we would provide users with notice their information has been requested so that they may have an opportunity to challenge any such request.
8. Your rights
8.1. You can send an email us at any time to hello @ earth-changers.com (without spaces) to review the personal information you have provided us, ask to make any desired changes to such information, or for the information to be removed. You also have the right to transmit your data directly to another data controller (where possible), request a restriction on processing of your data, or object to our processing of personal data, where applicable (where processing is based on our legitimate interests or for marketing purposes).
8.2. We will confirm your request in a timely manner. Please note there may be latency in deleting your personal information from our servers and storage, and we may retain your information to comply with the law, protect our rights, resolve disputes or enforce our agreements.
8.3. We are committed to working with you to obtain a fair resolution of any complaint or concern about privacy. If, however, you believe that we have not been able to assist with your complaint or concern, you have the right to make a complaint to your local data protection authority.
